Instructions for Submitting Authors

Prepare your Abstract (due day: 27 January 2026)

  • Abstracts are to be submitted to SPIE, using the link in the download section.
  • Remark: Prior to Abstract submission – unless already done – it is necessary to registration at: https://spie.org/
  • After starting the procedure, you will be asked to submit a short Abstract text with less than 100 words.
  • In addition, it is mandatory (!) to submit a two-page Abstract file in PDF-format (one page text, one page with figures).

Layout of the two-page Abstract in PDF-format:

  • Use Times Roman script for all text. Use boldface or italic for emphasis only. The proper fonts (all Times Roman) for various elements are as described and shown below along with more detail on how to handle elements of your Abstract.
  • Abstract Title is 16 point type (pt) bold. Center the title at the top of the page. Capitalize only the first word, proper nouns, and acronyms. Keep the title brief and descriptive. Avoid starting with articles or prepositions, e.g. “The study of ….,” “On the ….” Spell out acronyms unless they are widely known.
  • Author Names and Affiliations are 12 pt and centered. Capitalize proper nouns. Leave extra space between authors and affiliations/address. Omit titles or degrees such as Dr., Prof., Ph.D, etc. Avoid acronyms that are not internationally known.
  • ABSTRACT (above text on first page) is on a line by itself, all capitals, centered, 11 pt and boldfaces, two lines below author affiliation(s).
    Start the text on a separate line. The text is 10 pt with standard capitalization. Limit the abstract text to the first page, and add a second page with figures.

It is mandatory that the PDF file of the two-page Abstract is also submitted to SPIE. After your submission, you will receive information from SPIE via Email that you should check if the downloaded PDF file can be accepted by you.

Only after you have confirmed your PDF file Abstract, the Abstract submission is complete (!) You will receive from SPIE the Email confirmation of your submission and the EMLC 2026 Abstract number.

Abstract Acceptance Conditions and Availability of Abstracts by the time of the EMLC 2026 Conference

Abstract quality will be the basis for selection of conference presentations. The Abstracts will be assessed for:

  • Originality of work
  • Specific results reported
  • Potential impact and interest to the EMLC 2026 attendees.

Commercial abstracts, abstracts with no new research/development content, and abstracts where significant information is missing will not be accepted. All accepted PDF two-page Abstracts will be made available in digital form to the EMLC 2026 Conference Participants.

Manuscript Information

Prepare your Manuscript (due day: 30 June 2026)

Permission to Publish and Distribute Agreement

When submitting the manuscript pdf, read the Permission to Publish and Distribute Agreement and click the box to agree to the terms. This agreement allows SPIE to publish proceedings content, but lets the author retain copyright.

Manage your submission

Once the submission is complete it will be checked at SPIE.

If the manuscript is ready for publication you will receive an email that the paper has passed quality check. Do not submit again unless you discover a technical error in the paper that must be corrected.
If the manuscript has errors you will receive a revision request email.

To manage your submission, or submit a revised manuscript:

  • Login to your account at SPIE.org to view the status of your manuscript or submit a revision
  • Do not use the original conference submission link to submit a revised manuscript. 
    Doing so will create a new submission record and duplicate your paper in the system.

Manuscript Information

Manuscript quality will be the basis for selection of conference presentations. The abstracts will be assessed for:

  • Originality of work
  • Specific results reported
  • Potential impact and interest to the attendees.

Manuscript Specifications - brief overview (More detailed Manuscript Specifications please find in the download section).

  • The required file format is PDF.
  • Manuscripts should be at least four pages in length. The manuscript must contain all elements of a full-length technical manuscript (abstract, intro, conclusion, references, etc.)
  • Use Times Roman or equivalent font for all text. Use boldface or italic for emphasis only. The proper fonts (all Times Roman) for various elements are as described and shown below along with more detail on how to handle elements of your paper.
